Job Title: Apprentice Administration Assistant
Responsible to: Property & Customer Service Manager

Main Purpose of Role:
To provide administration support to the Student Property Team.
Duties and Responsibilities:
Utility Management
To cross reference & check utility invoices upon receipt against spreadsheet, prior to passing over for payment authorisation.
Office Administration
To control the process of the receipt of returned completed or partially completed tenancy packs:
• To assist with creation of & issuing of tenancy packs to prospective tenants following receipt of applications
• Updating spreadsheet.
• Scanning & saving tenancy documents to the system.
• Filing hardcopy tenancy documents.
• Printing / emailing a mutually signed copy of tenancy agreement to tenant.
Summer Lets
• Check inventory of stock & arrange additional purchases where required.
• Refresh of existing bedding stock.
• Prepare budget & determine contents for QA welcome packs.
• To assist with admissions on move in days.
Other
• To take & record full inventory of MSP stock at each property (furniture, appliances cleaning materials, maintenance spares etc) & update records.
• To administer the release of student DPS records once a final property inspection has taken place.
• To provide a first class service to the Customer base (Student, Residential, Academic Establishments, Office, Associated Companies / Parties).
• To assist with the maintenance of the financial administration systems and procedures to the highest possible standard.
• To assist with the development of the brand name and the companies image within the market place
Person Specification:
Skills and Qualifications E (Essential) D (Desirable)
Good standard of general education, to include Maths and English GCSE at grade C or above E
Good verbal and written communication skills E
Ability to work in a small team environment E
Ability to learn new tasks quickly and effectively E
Proficient IT skills and working knowledge of MS Office programmes E
Previous experience within an office administration environment D
